Here is what we can offer you.

Matter management

More than 18,000 in-house counsel, 35,000 law firm solicitors, and other vendors across 186 countries use Serengeti to collaborate on legal projects worldwide. We replace the paper, emails, and databases that most departments use to manage legal work with organised data that is searchable, reportable, and always up-to-date. The result is unparalleled control to standardise matter intake, manage access, review progress and audit changes.

  • Customise matter templates to manage any type of work that your legal department is handling. Go beyond tracking just litigation, transactions, and IP, and create customised templates for specialised matter types and industry-specific work (e.g. advice & counsel, subpoenas, potential disputes, etc.)

  • Turn default fields on or off, define custom fields and determine which fields will be optional or required in your matter template. Then select who will be responsible for the data and when completion of the fields will be required (e.g. 90 days after the matter is created) workflows.

  • Record all matter information such as background data, predictions of outcome, status reports, dates and events, tasks, diary entries, notes to file, bills, budgets, documents, contracts, evaluations, and participants. And because Tracker is Web-based, the data can be entered and maintained by in-house staff, external law firms, business managers, or legal vendors and is available immediately to all users who have been granted access.

  • Receive alerts on your personal Dashboard with notices of key developments if: (1) there is a material change in status; (2) an electronic invoice is awaiting your approval; (3) a budget needs approval; or (4) there is a document requiring review. Clicking on the Dashboard alert links you straight to the background information you need to take informed action.

  • Tie data entry to bill submission and approval. For example, if a legal department requires a law firm to provide matter information, a status report, and a budget on a matter, then Serengeti will not allow them to invoice on that matter until all requirements have been met. Likewise, if a company user needs to complete matter information or review a pending budget, then the system will not allow them to approve invoices on that matter until the requirements have been met.

  • Use the "Simple" or "Advanced" search to find information stored in any matter, save it as a custom search, and then export it if necessary. Filters allow you to view results within a date range, matter status, organisational unit, etc.

  • Receive periodic matter status updates from your external law firms in one standardised format that includes key development alerts. Generate reports that summarise matter status for multiple matters in one screen.

  • Securely archive your documents and data for quick search and retrieval at a future date. Get the most out of your prior work product by allowing law firms to access forms and other resources in one specialised "form file" matter. You can also build teams involving multiple law firms and business users who coordinate on a project or work independently and submit their work to a single matter.

  • Process electronic invoices in any format (LEDES, Microsoft Word, Adobe PDF) from 100% of your firms and eliminate the need for a paper approval process. The result? Your spending reports are complete and up-to-date.

  • Display both a user's preferred currency and the native currency when viewing bills, budgets, matter data, and reports

  • Track international and local taxes with our special built in features for tracking. When a user approves an invoice or runs a spending report, these taxes are displayed separately so that they can easily be adjusted and monitored

  • Serengeti accommodates accounting code review, multiple AP departments or destinations, specialised payment batches (e.g. wire-payment only), batch delivery auditing, and batch re-submission.

  • Avoid spending problems right away with our over-budget spending alerts by month, fiscal year, life of matter or phase and receive actual-to-budget comparisons. Budget reports can then help you assess external law firm performance.

  • Looking for an efficient way to track how much time your staff are spending on specific business units or types of legal work? Serengeti lets you quickly gather this data on the matters already in the system or create special "Time-entry Only" matters for administrative tasks and special projects. Users can quickly allocate their weekly time by either hours or percentage and receive alerts letting them know when their time allocations are due.

Document and contract management

Serengeti Tracker lets you manage all of your matter-related documents and stand-alone files in a secure, online workspace shared with external law firms. Tracker’s document and contract management module helps you track contractual commitments, organise contracts and related documents, and meet important deadlines.

  • Store electronic copies of documents in any file format, directly in Serengeti, or link to a network, URL, or third-party document management system.

  • Group documents into customisable folders within a matter and move from one matter to another with a single click.

  • Record general header information about each document (e.g. author, description, type etc.)

  • Search database fields for all contracts by parties, clauses, warranties, assignability, termination dates, notice provisions, and other important terms.

  • Set access security on a document and "lock" it so that it cannot be replaced.

  • Send a "Request for Review" that generates a Dashboard alert and optional email to team members who need to review or comment on the document.

  • Build custom document views and save them for re-use.

  • Export a spreadsheet of document profile information for a group of documents.

  • Track payments made or received under the contract.

  • Set notifications for key dates, events and SOP records, and receive email reminders and Dashboard alerts to ensure deadlines are met.
