Serengeti Tracker - Customers Section

Over in-house counsel, internal clients, firm attorneys, and other vendors use Serengeti's matter management system to collaborate on legal projects worldwide. Serengeti replaces the paper, emails, and databases that most departments use to manage legal work with organized data that is searchable, reportable, and always up-to-date. The result is unparalleled control to standardize matter intake, manage access, review progress, and audit changes.

Templates tailored to your industry-specific work

Go beyond standard matter types and track specialized work
Matter templates can be customized to manage any type of work that your legal department is handling. Most companies go beyond tracking just litigation, transactions, and IP, and create customized templates for specialized matter types and industry-specific work (e.g. Advice & Counsel, Subpoenas, Potential Disputes, etc.).

Customize matter template fields and their attributes
For each template, Serengeti allows administrators to turn default fields on or off, define custom fields, and determine which fields will be optional or required. They can also select who will be responsible for the data (company or firm), and when completion of the fields will be required (e.g. 90 days after the matter is created).

Design and enforce custom workflows
In addition to organizing your legal project data, Serengeti helps you design and enforce workflows at your department. For example, an intake specialist could initiate a matter and then assign additional information to the lead in-house attorney or outside counsel on the case. Budgets, status reports, and other tasks can then be required on all matters of that type or on a case-by-case basis.

alerts to keep you apprised of significant developments

Review a personalized dashboard with notices of key developments
The opening Dashboard view presents each user’s action items. A matter automatically appears on the Dashboard if: (1) there is a material change in status; (2) an electronic invoice is awaiting your approval; (3) a budget needs approval; or (4) there is a document requiring review. Clicking on the Dashboard alert links you straight to the background information you need to take informed action. Optional e-mail alerts are also available.

Receive alerts for specialized tasks
In addition to the standard Dashboard alerts, there are special notifications for law firm requirements, accounting code review, Service of Process intake, and departmental budgets/reforecasts.

Additional matter information organized into file tabs

Once a matter is created, related information is organized into intuitive file tabs for quick access by the entire project team. Additional matter information may include background data, predictions of outcome, status reports, dates and events, tasks, diary entries, notes to file, bills, budgets, documents, contracts, attorney evaluations, and participants.  Because Serengeti is Web-based, the data can be entered and maintained by in-house staff, outside counsel, business managers, or legal vendors and is available immediately to all users who have been granted access.

CUSTOMER INSIGHT - FMC Technologies

"...All Legal Team members use the Tracker matter management system provided by Serengeti. Lawyers (both inside and out) are required to input and update all matters in the system. This system includes all litigation, intellectual property and general matters and may be sorted in various combinations to provide current and historic data. The General Counsel has direct and real-time access to all matters within the system, and the other lawyers have the same access to matters for their specific business units and other matters within their specialty area. Using technology in this way as an information platform and collaborative tool eliminates the need for lawyers working on matters to write separate reports and/or schedule meetings to discuss case status, and enhances overall efficiencies. In addition, key internal consumers of legal services such as business managers and controllers have access to matters involving their business on it as well."

Using invoicing to ensure data is timely and complete

Another major advantage of selecting a system that integrates electronic invoicing with all of the other tools necessary to manage legal work is the ability to tie data entry to bill submission and approval. For example, if a law department requires a law firm to provide matter information, a status report, and a budget on a matter, then Serengeti will not allow them to invoice on that matter until all requirements have been met. Likewise, if a company user needs to complete matter information or review a pending budget, then the system will not allow them to approve invoices on that matter until the requirements have been met.

This unique solution to the problem of gathering timely and complete data is only possible because of Serengeti's integrated e-billing and matter management platform and direct law firm connection.

Organize large numbers of matters

Serengeti provides unique advantages for creating, organizing, and managing high-volume work that may be quick to resolution, or go dormant for many months (e.g. IP, mass torts, employment, etc.):
  • Matter Cloning
Save time by creating a copy of an existing matter with a single click. This is often useful when tracking a single trademark filing that requires separate matters for each country.
  • Matter Grouping
Matter grouping allows you to assign multiple matters to a group for purposes of tracking shared matter information, budgeting, and reporting. This feature saves you time on data input and avoids cluttering the screen in views and reports by allows you to view multiple matters as a "group" (then drill-down to specific filings within a group.)
  • Bulk Update of Matter Information
Quickly change matter information across multiple matters from one screen. This is particularly helpful when managing changes to accounting codes, persons responsible, etc. on hundreds of IP matters.
  • Advanced Matter Data Search
Use the "Simple" or "Advanced" search to find information stored in any matter, save it as a custom search, and then export it if necessary. Filters allow you to view results within a date range, matter status, organizational unit, etc.
