Go beyond standard matter types and track specialized work
Matter templates can be customized to manage any type of work that your legal department is handling. Most companies go beyond tracking just litigation, transactions, and IP, and create customized templates for specialized matter types and industry-specific work (e.g. Advice & Counsel, Subpoenas, Potential Disputes, etc.).

Customize matter template fields and their attributes
For each template Tracker allows administrators to turn on/off default fields, define custom fields, and determine which fields will be optional or required. They can also select who will be responsible for the data (company or firm), and when fields will become required (e.g. 90 days after matter creation).

Design and enforce custom workflows
In addition to organizing your legal project data, Tracker helps you design and enforce workflows at your department. For example, an intake specialist could initiate a matter and then assign additional information to the lead in-house attorney or outside counsel on the case. Budgets, status reports, and other tasks can then be required on all matters of that type or on a case-by-case basis.

Review a personalized dashboard with notices of key developments
The opening Dashboard view presents each user’s action items. A matter automatically appears on the Dashboard if: (1) there is a material change in status; (2) an electronic invoice is awaiting your approval; (3) a budget needs approval; or (4) there is a document requiring review. Clicking on the Dashboard alert links you straight to the necessary background information to take action. Optional e-mail alerts are also available.

Receive alerts for specialized tasks
In addition to the standard dashboard alerts there are special notifications for law firm requirements, accounting code review, Service of Process (S.O.P.) intake, and departmental budgets/reforecasts.
 

Additional matter information organized into file tabs


Once a matter is created, related information is organized into intuitive file tabs for quick access by the entire project team. Additional matter information may include background data, predictions of outcome, status reports, dates and events, tasks, diary entries, notes to file, bills, budgets, documents, Contract Mgmt, attorney evaluations, and participants.  Because Tracker is web-based, the data can be inputted and maintained by in-house staff, outside counsel, business managers, or legal vendors and is available immediately to all users who have been granted access.

Using invoicing to ensure data is timely and complete


Another major advantage of selecting a system that integrates electronic invoicing with all of the other tools necessary to manage legal work is the ability to tie data entry to bill submission and approval. For example, if a law department requires a law firm to provide matter information, a status report and a budget on a matter, then Tracker will not allow them to invoice on that matter until all requirements have been met. Likewise, if a company user needs to complete matter information or review a pending budget, then the system will not allow them to approve invoices on that matter until the requirements have been met.
