templates for tracking all of the information, events, and documents
associated with trademark filings, patent prosecutions, and domain
registrations.
Specialized Features for Intellectual Property
Tracker provides a number of tools designed specifically with IP
management in mind:
- Phase-based Patent Budgets
Gather spending estimates by phases in the lifecycle of a
patent prosecution (e.g. Preparation, Waiting Period for Office
Actions, Prosecution, etc.),
and then receive invoice audit alerts if spending exceeds the budget
amount.
- Deadlines, Renewals, and Filing Calendar
Rather than re-keying filing dates and
deadlines provided by your firm, Tracker allow your outside counsel to
maintain a calendar for you in the system. You can then view a
master calendar covering all filings, receive email reminders, and
sync dates with Microsoft Outlook or Lotus Notes.
- Fixed-fee Billing Arrangements
Input
the fixed-fee amount that you have negotiate for a project and then
let Tracker notify you if spending exceeds that amount. A one-click
invoice audit allows you to reduce your approved amount to the
agreed upon fixed-fee.
- Filing Outcomes, Duration, and Cost
Tracker provides specialized fields for tracking
filing status and outcome. It also benchmarks duration, cost, and
complexity of each filing which feed IP trending and analysis
reports (e.g. average duration and cost of patent prosecution by
region).
Tracker provides unique advantages for
creating, organizing, and managing high-volume work that may be quick to
resolution, or go dormant for many months (e.g. IP, mass torts,
employment, etc.):
- Matter Cloning
Save time by creating a copy of an existing matter with a single click. This is often useful
when tracking a single trademark filing that requires separate
matters for each country. - Matter
Grouping
Matter grouping allows you to assign multiple matters to a
group for purposes of tracking shared matter information, budgeting,
and reporting. This feature saves you time on data input and avoids
cluttering the screen in views and reports by allows
you to view multiple matters as a "group" (then drill-down
to specific filings within a group.)
- Bulk Update of Matter Information
Quickly change matter information across multiple matters from
one screen. This is particularly helpful when managing changes to
accounting codes, persons responsible, etc. on hundreds of IP
matters.
- Advanced Matter Data Search
Use the "Simple" or "Advanced" search to find information stored
in any matter, save it as a custom search, and then export it if
necessary. Filters allow you to view results within a date range,
matter status, organizational unit, etc.
- Bulk Billing
Tracker allows you to choose if you would like to create
separate matters for each small matter or direct your firms to post
their invoices for multiple small matters to a single "Bulk Billing
Matter." To simplify the process, the system allows your law firms
to associate multiple matter numbers to a single matter in Tracker
and then use the SpeedPost™ module to quickly submit their bills.
